Purpose of the Role
As a key member of the team, the Business Operations Assistant will work directly with the Operations Manager/ Managing director in ensuring a smooth business environment. During this growth phase of the organisation the role will be multi-faceted with accountabilities related to enforcing and implementing company policies and procedures within the office as well as being a direct PA to the Managing Director. The Operations Assistant will serve as the first point of contact for all enquiries for the MD and Operations Manager from any external stakeholders.
The role will be well suited to an individual who thrives in a fast-paced and evolving environment where competing priorities will require strong organisation, effective communication, and clear direction. The ability to multi task and translate dictation and and/or instructions from senior management into effective written and verbal communication will be critical to the success of the person in this role.
Accountabilities (Non-exhaustive)
People Leadership & Performance
• Coordinate and schedule meetings and provide follow ups
• Work with Manager to provide excellent customer service
• Work with Admin apprentice to carry out administrative and clerical duties
• Work with Admin apprentice to store, file and retrieve corporate documents and reports as and when needed
• Delegate and monitor staff tasks in administration and finance

Business Operations
• Acting as second-in-command to the manager, and taking care of all duties in their absence.
• Assisting the Manager with operational issues.
• Scheduling meetings and team building sessions as required.
• Promptly answering the questions of staff and other stakeholders.
• Providing excellent customer service and maintaining relationships with vendors.
• Preparing and filing forms and other documents.
• Assisting with recruitment and onboarding processes.
• Taking inventory and ordering office supplies as needed.
• Updating business logs and order forms.
• Analysing all operations and forwarding suggestions for improvement to the Manager.

Personal Assistant to MD
• Writing letters and E-Mails, proof reading and editing e-mails/letters to be sent on behalf of MD
• Managing the diary, ensuring appointments are making efficient use of his time
• Translation of written and verbal briefings into effective communications with clients, suppliers and staff
• Taking minutes and distribution of minutes of all meetings as required
• Carrying out project work on behalf of MD including research and writing up of reports
• Preparation of presentations
• Expediting issues on behalf of the MD
• Ensuring the MD is fully informed of all relevant matters irrespective of whether he is in the office or not.
• Standing in for MD at meetings where required
• Assisting MD in building effective relationships with clients and potential clients
Regulatory Compliance
• Liaise with regulatory consultants and gain and understanding of current compliance law affiliated with our products
• Maintaining understanding and knowledge of Greenliving Pharma’s food supplement ranges
• Administer any compliance changes, under the supervision of the regulatory consultant

Essential skills and requirements:
• A genuine interest in sustainable health, wellbeing and nutrition in line with company values.
• GCSEs in English, Maths and Science
• Strong work ethic, with the ability to motivate yourself and your team under challenging circumstances.
• Excellent interpersonal skills
• IT literacy in Microsoft business suites (Office, Word, Excel, PowerPoint)
• Passion for detail and a high-level of organisation
• High level of numeracy and literacy, with excellent verbal and written communication skills
• Full and clean driving license and own vehicle required.

Working pattern:
25 hours. Monday – Friday 9am – 5pm on agreed days with candidate.

Hourly rate of pay:
National Minimum Wage
